This policy explains what personal data Digital Networks collects through digitalnetworks.ai, why we collect it, how we store and protect it, and the choices and rights you have. It applies to our website and our consultation intake process.

01Who We Are
Digital Networks ("Digital Networks," "we," "us," or "our") is a B2B AI consulting and build firm operating the website at digitalnetworks.ai. We advise clients on AI strategy and sourcing and we build and deploy AI services for business clients.
The entity responsible for your personal data (the data controller for GDPR purposes) is Digital Networks AI, LLC, a limited liability company based in Miami, Florida, United States, with a mailing address at 382 NE 191st St, PMB 322596, Miami, Florida 33179-3899, US. This policy covers personal data we process about prospective clients, website visitors, and individuals who request a consultation. It does not cover data we process on behalf of clients under a separate services agreement; that data is governed by the contract and data processing terms with the client.
02Data We Collect
We collect only the data needed to respond to your inquiry, schedule and run a consultation, and operate the site.
Consultation intake — information you provide. Our consultation funnel collects:
- Name
- Work email address
- Company name
- A free-text description of the problem or goal you want to discuss
- Optional in-browser voice or video recordings, if you choose to record one instead of typing
- Optional callback phone number and preferred callback time, if you choose the call-back option
- The package and meeting type you select, and your chosen appointment slot
Providing voice, video, and phone details is optional. If you prefer not to share them, you can use the text option and still book a consultation.
Collected automatically — technical data. When you visit the site, we and our infrastructure providers process standard technical data such as IP address, browser and device type, pages requested, and timestamps, primarily for security, fraud prevention, and reliability.
First-party analytics — only with your consent. If you allow Analytics cookies, we record first-party usage data in our own database: a randomly generated visitor ID (the dn_vid cookie), the page path you viewed, the referring page, and your browser's user-agent string. Before storing, we collapse the booking ID in URLs such as /join/[id] and strip query strings from referrer URLs, so the record is not directly linked to a named individual — the visitor ID is a random value, not your name or email. We use no third-party analytics, advertising, or cross-site tracking, and turning Analytics off deletes the visitor-ID cookie. See our Cookie Policy at /cookies for the full list.
We do not ask for, and request that you do not submit, sensitive personal data (such as health, financial account, government ID, or special-category data) through the consultation funnel.
03How We Use Your Data and Our Legal Bases
We use personal data to:
- Respond to your inquiry and contact you about a consultation
- Analyze your problem description to recommend a relevant package or solution
- Schedule, confirm, and conduct the consultation, including sending calendar invitations and meeting links
- Send transactional emails such as confirmations and reminders
- Operate, secure, and improve the website and our intake process
- Keep records and meet legal, tax, and compliance obligations
Where GDPR applies, our legal bases are: (a) steps taken at your request prior to entering a contract and performance of a contract, for consultation scheduling and follow-up; (b) our legitimate interests in responding to business inquiries, securing our systems, and improving our services, balanced against your rights; (c) your consent, where required, for example for non-essential cookies and for optional voice or video recordings; and (d) compliance with legal obligations.
We do not sell your personal data, and we do not share it for cross-context behavioral advertising. We do not use your consultation content to make decisions that produce legal or similarly significant effects about you without human involvement.
04How and Where We Store Data
Consultation records (name, work email, company, problem description, selected package, meeting type, and appointment details) are stored in our Supabase-hosted PostgreSQL database. Optional voice and video recordings are stored as files in a private Supabase Storage bucket that is not publicly accessible.
Our website is hosted on Vercel. Transactional emails (such as consultation confirmations and reminders) are sent through Resend. Each of these providers processes data on our behalf as a sub-processor under their respective terms.
Access to consultation data is limited to Digital Networks personnel who need it to respond to your inquiry and deliver the consultation. Database and storage credentials are held as protected secrets and are not exposed in client-side code.
05Third-Party Sub-Processors
We rely on a small set of vendors to operate the site and the intake process. As of the last update, our sub-processors are:
- Vercel — website and application hosting, edge delivery, and request logs (United States)
- Supabase — PostgreSQL database and private file Storage for consultation records and optional recordings (United States)
- Resend — outbound transactional email delivery (United States)
We may also use a video conferencing provider to host scheduled meetings and an email/calendar provider for business correspondence. Each sub-processor is bound by contractual confidentiality and data-protection obligations and may only process personal data on our instructions. We will update this list as our providers change. 06Cookies and Consent
We keep cookie use minimal and first-party only. We set one strictly necessary cookie (dn_consent) that remembers your cookie choice, and one optional analytics cookie (dn_vid) that is set only if you allow Analytics. We use no third-party advertising or cross-site tracking cookies.
When you first visit, our cookie banner lets you accept all, allow only necessary cookies, or decline the rest; analytics stay off until you opt in. You can change your choice at any time using the "Manage cookies" controls in the footer, and you can also block or delete cookies through your browser settings. Voice and video recording in the consultation funnel happens only when you actively start a recording in your browser; we do not record audio or video without your action. Strictly necessary cookies do not require consent and cannot be switched off without affecting core functionality.
07Data Retention
We keep personal data only as long as needed for the purposes described in this policy, then delete or anonymize it.
- Consultation records (name, work email, company, problem description, booking details): retained for up to 24 months after your last contact, to follow up, maintain business records, and meet legal obligations.
- Optional voice and video recordings: retained for up to 12 months, then deleted from private Storage, unless a longer period is needed to deliver a service you requested or to comply with law.
- Email delivery logs and security logs: retained for the period set by the relevant provider and our security needs.
Where data is no longer needed, we delete it on a routine schedule. You may also request earlier deletion as described below.
08Your Rights
Depending on where you live, you may have some or all of the following rights regarding your personal data:
- Access a copy of the data we hold about you
- Correct inaccurate or incomplete data
- Delete your data
- Restrict or object to certain processing
- Withdraw consent at any time, without affecting prior processing
- Receive your data in a portable format
If you are in the European Economic Area or the United Kingdom (GDPR/UK GDPR), these rights are provided by law, and you may also lodge a complaint with your local supervisory authority.
If you are a California resident (CCPA/CPRA), you have the right to know what personal information we collect and how we use and disclose it, to request deletion, to correct inaccurate information, and not to be discriminated against for exercising your rights. We do not sell or share personal information for cross-context behavioral advertising.
To exercise any right, email contact@digitalnetworks.ai. We will verify your request, respond within the timeframe required by applicable law, and may ask for limited information to confirm your identity. You may use an authorized agent where the law allows.
09International Data Transfers
We are based in the United States, and our sub-processors (including Vercel, Supabase, and Resend) operate in the United States. If you access the site from outside the United States, your personal data may be transferred to and processed in the United States and other countries whose data-protection laws may differ from those in your location.
Where we transfer personal data out of the European Economic Area, the United Kingdom, or another region with transfer restrictions, we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses or an equivalent mechanism, together with the contractual protections in our sub-processor agreements. 10Security
We take reasonable technical and organizational measures to protect personal data. These include encryption of data in transit (HTTPS), private, non-public Storage for uploaded recordings, access controls and least-privilege handling of database and storage credentials, secrets kept out of client-side code, and security response headers on the website.
No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we work to protect your data and to limit access to those who need it. If we become aware of a personal data breach affecting you, we will notify you and the relevant authorities as required by applicable law.
11Children's Privacy
The website and our services are intended for businesses and professionals and are not directed to children. We do not knowingly collect personal data from anyone under 16 (or the minimum age required by your local law). If you believe a child has provided us with personal data, contact us at contact@digitalnetworks.ai and we will delete it.
12Changes to This Policy and How to Contact Us
We may update this policy as our services, providers, or legal obligations change. We will post the updated version on this page and revise the effective date. Material changes will be highlighted where appropriate. Your continued use of the site after an update means you accept the revised policy.
